Your Broken Arrow Outdoor Living Project: Contract to Completion

One of the most common questions we hear from Broken Arrow homeowners is: “How long is this actually going to take?” It’s a fair question — outdoor living projects involve multiple trades, city permits, material lead times, and Oklahoma weather. This guide walks you through exactly what happens from the day you sign your contract to the day you’re sitting in your new outdoor space with a cold drink in your hand.

Phase 1: Design Finalization and Contract Signing (Week 0)

Before any contract is signed, VistaScapes walks your property and develops a detailed scope of work. We present a written proposal that specifies materials, dimensions, features, and total cost. Once you approve the scope and sign the contract, the project formally begins.

At this stage, we collect a deposit (typically 30–40% of the project total) which covers material ordering and the permitting process.

Phase 2: Permitting and Material Ordering (Weeks 1–4)

Immediately after contract signing, two things happen simultaneously:

  • Permit applications are submitted to the City of Broken Arrow. Permits for patios, fireplaces, outdoor kitchens, and structural elements are required and must be approved before construction begins. Broken Arrow permit processing typically takes 1 to 3 weeks for standard residential projects.
  • Materials are ordered. Natural stone, brick, outdoor kitchen appliances, custom cabinetry, and specialty materials all have lead times. We order everything immediately so materials arrive by the time permits are approved. Common lead times: natural stone (1–3 weeks), outdoor kitchen appliances (2–6 weeks), custom pergola components (3–6 weeks).

During this phase, your yard is untouched. You’ll hear from us periodically with permit and delivery updates.

Phase 3: Site Preparation (Days 1–3 of Construction)

Once permits are in hand and materials are staged, our crew mobilizes. Site prep includes:

  • Marking utility lines (we call 811 before any excavation)
  • Demolishing existing concrete, old pavers, or landscaping in the work zone
  • Grading and excavating for the patio base, fireplace foundation, or retaining walls
  • Compacting base material and setting drainage if needed

This phase can look chaotic — your yard will be a construction zone. It’s normal, and it doesn’t last long.

Phase 4: Foundation and Hardscape (Days 3–10)

With the site prepped, we pour concrete footings for fireplace structures, lay the patio base, and begin the hardscape installation:

  • Concrete patios are poured and finished (brushed, stamped, or broom-finished per the design)
  • Flagstone or paver installation begins over the compacted base
  • Fireplace foundation is poured and cured before the masonry work above begins

Concrete requires curing time — typically 28 days for full strength, though we can begin working over it for light activity after 5–7 days. This is often the longest waiting period in a project.

Phase 5: Masonry and Structure (Days 10–25)

Fireplace construction, stone or brick facing, retaining wall installation, and any structural masonry work happens in this phase. For a full outdoor fireplace with stone facing, this typically takes 5–10 working days. The masonry cures and gains strength as the project progresses.

Phase 6: Outdoor Kitchen and Mechanical (Days 20–30)

If your project includes an outdoor kitchen, this phase involves:

  • Setting the kitchen frame and block structure
  • Countertop installation
  • Appliance drop-in and connection (grill, side burner, refrigerator, sink)
  • Gas line connection by our licensed plumber
  • Electrical connection by our licensed electrician

The gas and electrical rough-in inspections happen here before we close up the kitchen structure.

Phase 7: Finishing Touches and Final Inspection (Days 30–40)

The home stretch of the project includes:

  • Pergola or shade structure installation
  • Outdoor lighting installation and connection
  • Cleanup and site restoration — we haul away all construction debris and restore any disturbed lawn areas with grass seed or sod
  • Final city inspection (required for permitted work)
  • Final walkthrough with the homeowner

Full outdoor living + landscaping12–20 weeks

What Causes Delays?

The most common delay factors in Broken Arrow outdoor living projects:

  • Permit delays: The City of Broken Arrow is typically 1–3 weeks, but complex projects or busy seasons can extend this.
  • Material back-orders: Natural stone and specialty appliances sometimes have longer lead times than expected. We order early to minimize this risk.
  • Weather: Sustained rain (more than 3–4 days) or extreme temperatures can pause outdoor masonry and concrete work. Oklahoma weather is unpredictable — we build buffer time into every schedule.
  • Change orders: Mid-project scope additions extend the timeline. We encourage finalizing the design before mobilizing to avoid this.
