The VistaScapes Consultation Process
Before the Consultation: Setting Up for Success
When you call to schedule, we’ll ask a few quick questions to make the visit productive:
- What are you hoping to build? (rough description — “patio and fireplace” or “outdoor kitchen addition”)
- What’s your general timeline? (spring build, summer build, flexible?)
- Has anyone previously done work on the area we’ll be looking at?
You don’t need to have everything figured out before calling — we ask because it helps us bring the right samples and information to the first meeting.
The Site Visit: What We Assess
Most of the consultation happens outdoors, walking your property together. We’re looking at:
- Space and layout — how big is the potential patio area, what constraints exist (trees, fence lines, setbacks), where are the best locations for features
- Grade and drainage — is the yard level or sloped? How does water drain after heavy rain? Are there problem areas we need to work around?
- Soil conditions — visual assessment of surface soil and any visible clay or drainage indicators
- Existing concrete and hardscape — condition, extent, and how new work will connect
- Utility locations — where are gas meters, electrical panels, and outdoor outlets? Where would gas or electrical runs need to go for an outdoor kitchen?
- Sun exposure — which direction does the patio face? Where does afternoon shade fall in summer?
- Privacy and views — what do you want to screen, what do you want to preserve?
- Home architecture — brick color, siding, roofline, existing stone — the materials your outdoor space needs to relate to
The Design Discussion
After the site walkthrough, we discuss your vision in more depth:
- What’s your priority feature? (fireplace? kitchen? covered patio? all of the above?)
- How do you actually entertain — casual family use, large gatherings, formal dinner parties?
- What cooking style do you prefer? (gas grill, charcoal, wood-fired, smoker?)

We bring physical stone and finish samples to every consultation. Seeing and handling Oklahoma limestone, manufactured stone veneer, and concrete finish options in your actual outdoor space — with your home’s colors and light conditions — produces far better design decisions than looking at photos in an office. We’ll look at samples together and identify the directions that resonate with your home and preferences.

At the end of the consultation, you should have:

- A direction on materials and design aesthetic
- An understanding of our process and timeline
- Our timeline for delivering a written proposal
There is no pressure and no commitment at the consultation. Our goal is simply to understand your project well enough to give you an accurate, detailed proposal.
After the Consultation: The Written Proposal
Within 5-10 business days of the consultation, we deliver a written proposal that includes:
- Detailed scope of work
- Material specifications
- Project price
- Payment schedule
- Anticipated timeline
- Warranty terms
We review the proposal with you by phone or in person, answer questions, and discuss any modifications. If you want to adjust scope or materials, we can revise the proposal before you make any decision.
