Step 1: The Initial Phone Call

Step 2: The On-Site Consultation
The on-site consultation is where design begins in earnest. We walk your property together:
- Site assessment: We look at grade, drainage, access, soil conditions, existing utilities, and any features (trees, structures, fencing) that will affect the design
- Sun and wind analysis: We assess how sun moves across the space through the day and the likely prevailing wind direction — both matter for fireplace placement and shade structure orientation
- Measure and document: We measure the available space and document any relevant dimensions and constraints
- Vision conversation: We discuss your ideas in the context of the actual space — what fits, what does not, and what trade-offs might be necessary
- Material discussion: We talk through material options for surfaces, masonry, and structures, and often show photos of relevant completed projects
- Budget reality check: We discuss what different scope combinations typically cost so you can make informed decisions before we invest time developing a detailed estimate
The on-site consultation typically takes 45-60 minutes for a straightforward project and up to 2 hours for complex multi-feature projects.
Step 3: Design Development and Estimate
After the consultation, we develop your project plan:
- For straightforward projects, we may provide a written estimate based on the consultation without formal drawings
- For complex projects, we develop a basic site plan showing the project footprint, feature placement, and key dimensions
- Full architectural plans with elevations and detailed material specifications are available for an additional design fee for projects that require them (HOA submission, complex permitting, or client preference)
The written estimate includes specific material specifications, scope of work broken down by task, exclusions, payment schedule, timeline, and warranty terms. We do not provide vague one-line quotes.
Step 4: Decision and Refinement
After reviewing the estimate, most clients want to discuss adjustments:
- What if we scaled back the kitchen and expanded the patio?
- Can we get a natural stone option vs concrete pricing?
- What does adding a ceiling fan and lighting add to the pergola cost?
We work through these questions until the estimate matches both your vision and your budget. We do not pressure you to accept more than you want, and we do not try to upsell features you have not asked for.
Step 5: Contract, Permit, and Production Scheduling
Once you accept the estimate and sign the contract:
- We collect the initial deposit
- We apply for any required building permits
- We order long-lead materials
- We confirm your start date in our production calendar
Step 6: Construction
Our crew executes the project according to the plan. We communicate proactively if any unexpected site conditions arise and need your input. We handle all inspections required by the permit.
Step 7: Walk-Through and Close-Out
When construction is complete, we walk through together. Any punchlist items are addressed promptly. Final payment is collected after your satisfaction is confirmed. We provide warranty documentation and care instructions for your materials.
