What to Expect at Your First Outdoor Kitchen Consultation in Oklahoma: A Homeowner’s Guide
You’ve decided you want an outdoor kitchen. You’ve looked at photos, talked to friends who have one, and you’re ready to talk to a contractor. But you’ve never been through this process before — and you’re not sure what to expect when someone from VistaScapes Design shows up at your Broken Arrow or Tulsa-area home.
This guide walks you through exactly what happens during a first consultation, how to prepare, and what questions to have ready. Being prepared makes the process more productive for everyone — and gets you to a design and quote faster.
What Is the First Consultation?
The first consultation is a free, no-obligation in-home visit where we come to your property to assess your backyard, understand your vision, and begin the process of designing the right outdoor kitchen for your space and lifestyle.
It’s not a sales pitch. It’s a professional assessment by an outdoor living specialist who wants to understand your situation before recommending anything. The more information you share with us, the better the eventual design will be.
How Long Does It Take?
Plan for 60–90 minutes for a first consultation. If your project is more complex — a larger property, a significant covered structure component, or integration with existing landscaping — it might run longer. We don’t rush the first visit because this is where we gather the foundation for everything that follows.
What Happens During the Consultation
Step 1: Backyard Assessment
We start outside, walking your backyard with you. We’re looking at:
- Space and layout: How much room you have, where the optimal position for the outdoor kitchen is relative to the home, patio doors, and entertaining areas
- Sun and shade patterns: Where the sun hits during peak entertaining hours; whether you’ll need a covered structure for comfort
- Utilities: Where your natural gas line runs, where the closest electrical panel connection is, whether water is accessible and reasonable to route to an outdoor sink
- Drainage: How water flows through your backyard during heavy rain; whether there are drainage concerns to address
- Existing features: Existing patios, decks, pergolas, landscaping, trees, and fences that affect what’s possible
- Soil and grade: The slope and condition of your yard; whether significant grading will be needed
Step 2: Understanding Your Vision
Once we’ve seen the space, we talk about you:
- How do you typically use your backyard? Small family gatherings? Large parties? Quiet evening cooking?
- How many people do you usually entertain at once?
- What do you cook? Weekend grilling, serious smoking, pizza nights, full family meals?
- What features matter most to you? A high-quality grill? Refrigeration? A sink? A bar area?
- What does your dream outdoor space look like? Do you have photos to show us?
The answers to these questions directly shape the design. An outdoor kitchen for a family of four who entertains 10–15 guests occasionally looks very different from one designed for someone who hosts 40+ people and cooks elaborate meals.
Step 3: Budget Discussion
We’ll discuss budget openly and honestly. There’s no judgment about what your budget is — our job is to design the best outdoor kitchen possible within your parameters. Knowing your budget early prevents us from designing something you’ll never build or undershooting something you’d actually be happy to invest in.
We give ballpark ranges at this stage based on our experience — a rough sense of what the scope you’re describing will cost — and refine this into a precise quote after the design is developed.
Step 4: Reviewing Options
Based on your space, your vision, and your budget, we’ll discuss the broad design options available to you — layout configurations, appliance packages, material choices, and whether a covered structure makes sense. We don’t expect you to make decisions at this first meeting; we’re expanding your understanding of what’s possible.
Step 5: Next Steps
We’ll wrap up by explaining what happens next: we take our site notes back to the shop, develop a detailed design, and return (in-person or via a follow-up call) to present the design with a detailed, itemized quote. Timeline from first visit to design presentation is typically one to two weeks depending on project complexity.
How to Prepare for Your Consultation
You’ll get more out of the first visit if you come prepared:
Gather Inspiration Photos
Nothing communicates your style preferences faster than photos of outdoor kitchens you love. Collect 5–10 images from Pinterest, Houzz, or Instagram and have them ready to show. Even if you can’t articulate exactly what appeals to you about each photo, showing them gives us a visual vocabulary of your taste.
Know Your Budget Range
You don’t need an exact number, but have a range in mind — “we’re thinking $20,000–$35,000” or “we’re open up to $60,000 if the design is right.” This helps us scale the design appropriately from the start.
Check Your Utilities
Before we arrive, confirm whether your home has natural gas service (check your utility bill or look for a gas meter on the home’s exterior). If you’re not sure, we’ll figure it out during the visit — but knowing in advance saves time.
Review HOA Requirements
If you live in an HOA community, pull out your architectural guidelines or CC&Rs and note any relevant restrictions on structures, materials, or setbacks. We can help you interpret these, but having them available during the consultation is helpful.
Think About What Annoys You About Your Current Backyard
Sometimes the most useful information comes from knowing what doesn’t work about how you currently use your backyard. If you’ve been cooking on a portable gas grill for years and hate the experience, tell us what you hate about it. The best outdoor kitchens solve real problems.
What We Don’t Do During a First Consultation
- We don’t pressure you to decide on anything
- We don’t require a deposit to receive a design and quote
- We don’t give you a ballpark number and then add costs at every stage
- We don’t oversell you on features you don’t need
Our goal is to earn your trust by giving you honest, expert guidance — and then build the outdoor kitchen that reflects that trust.
